Every adult who travels with our student groups undergoes a rigorous background check. This includes trip chaperones, group leaders, and any additional supervisory staff. We screen for criminal records, child protection history, and require up-to-date references. This process ensures that only trusted, qualified adults are present to support and supervise students throughout the experience.

Preparation is key to a safe and successful trip. That’s why we host mandatory pre-trip safety briefings for all student travelers. These sessions cover everything from cultural etiquette and emergency procedures to health tips and communication protocols. We also offer downloadable safety guides for students and parents.

Student Safety Protocols

At Nativity Pilgrimage, we are deeply committed to ensuring the safety and well-being of every student traveler. Our protocols are designed to provide peace of mind to parents, educators, and students alike, ensuring that each pilgrimage is both spiritually enriching and securely managed. 

Background Checks & Adult Screening

Mandatory Background Checks: All adult participants aged 20 and over, including chaperones and group leaders, are required to undergo comprehensive background checks. This process is akin to standard practices in many school districts, aiming to identify individuals who could pose a risk to student travelers.  

Chaperone Policy

Optimal Chaperone Ratio: We maintain a chaperone-to-student ratio of 1 chaperone to 8 students, which meets or exceeds industry standards, ensuring adequate supervision and support throughout the journey.

Background Checks: All chaperones must complete criminal background checks and child protection training (e.g., Safe Environment certification from the diocese). 

Rooming Assignments

  • Minors may never share a room with an unrelated adult
  • Students must be roomed by gender
  • No co-ed room sharing is permitted under any circumstance

Safety Handbook & Pre-Trip Orientation

Comprehensive Safety Handbook: Each participant receives a detailed safety handbook outlining behavioral expectations, emergency procedures, and cultural etiquette.

Pre-Departure Briefings: We conduct thorough orientation sessions covering topics such as itinerary specifics, health and safety guidelines, and cultural norms to prepare students for their pilgrimage.

Documentation and Travel Requirements 

  • Notarized parental permission form for international travel
  • Medical consent form for emergency treatment
  • Passport copy (valid for 6 months beyond return date)
  • Student ID and emergency contact list

Insurance: Mandatory travel and medical insurance for all participants
